Purpose: The Contract & Bid Administrator supports the Contracts & Litigation Manager, General Counsel, and sales personnel for Heritage-Crystal Clean, LLC.

Essential Duties

• Check Shared Inboxes
• Check Bid Notices inbox for new bid opportunities
• Download and review bid documents
• Create matter in Legal Files for each new bid
• Type up email to field with pertinent information
• Add bid to Teams Bid Table
• Check Law Dept inbox for new customer requests
• Add requests for customer forms, online registrations, etc. to queue
• Assign other requests to correct Law Dept team member
• Check COI inbox for new COI requests
• Send COI to customer if already on file
• If not on file, generate online or request from broker
• Manage Bids
• Organize and manage multiple bids at a time
• Submit questions per bid instructions (hard copy/email/online)
• Share answers to questions with field
• Send reminder emails to field requesting pricing, references, etc.
• Fill out bid documents with required information
• Get required signatures, either wet or thru Adobe Sign
• Submit completed bid per instructions (hard copy/email/online)
• Update Bid Table spreadsheet
• Send award emails to field; cc CEO
• Facilitate the execution of contracts
• Complete Vendor Forms
• Create matter in Legal Files for each new request
• Fill out requested forms
• Add supporting documents to matter
• Send forms out for signature, either wet or thru Adobe Sign
• Return forms to customer with supporting documents
• Negotiate Contracts (NDA, MSA, SA)
• Review contracts and redline according to Law Dept rules
• Negotiate via email, phone, and/or Teams to obtain desired results
• Facilitate contract execution via DocuSign
• Assist with bills of sale and products sale/purchase agreements
• Support Heritage-Crystal Clean Operations, Sale and Marketing, Finance, IT, Re-refinery operations with their contractual requirements

Work Experience

• 1-3 years experience minimum

Education, Certificates, Licenses, or Designations

• High school diploma, Contract Management Certificate or Associates Degree is preferable but not required

Specific Skills

• Knowledge of Microsoft Office applications

Work Environment

While performing essential duties of this position an individual regularly works indoors and may be required to sit for long periods. Individual will be required to regularly talk, hear, see and often reach with hands, stand and walk, use a computer keyboard, mouse, telephone, and other office equipment. The anticipated salary range for this position is $60,000-$70,000, and includes benefits such as the following:
