Job Description

We are seeking an exceptional Executive Assistant to support a globally active CEO of a top finance firm at a pivotal time of growth and expansion into the U.S. market. This is a rare opportunity to step into a high-profile, high-performance role where precision, polish, and professionalism are paramount.

You’ll be the CEO’s right hand—managing critical business operations, complex global travel, and top-tier stakeholder interactions with absolute discretion and unshakable judgment.

This role requires someone articulate, highly dedicated, impeccably presented, and comfortable interfacing with Heads of State, Foreign Dignitaries, C-suite executives from top Global Firms and UHNW individuals and families.

Location: Jackson Square, San Francisco | Office-Based (Hybrid Flex)

Salary: $150 - $220 + Benefits

Key Responsibilities:

Executive Support

  • Flawless diary and schedule management across multiple time zones
  • Relationship-building and liaison with elite-level global contacts
  • Strategic coordination of meetings, briefings, and private engagements

Travel & Protocol

  • End-to-end travel orchestration including private charters, visa procurement, and adaptable itineraries
  • Availability across time zones to handle urgent or last-minute changes
  • Occasional travel alongside the CEO to ensure seamless execution

Communication & Confidentiality

  • Professional and discreet management of all communications
  • Drafting and reviewing high-level correspondence with impeccable attention to tone and detail
  • Handling sensitive matters with the utmost confidentiality and decorum

Operational Excellence

  • Overseeing office standards and supporting events, guest visits, and internal coordination
  • Liaising with global household and private staff where needed
  • Working closely with the UK-based Executive Assistant to maintain continuity across personal and professional domains

About You

  • 5–7+ years of experience supporting C-suite or high-profile principals
  • Outstanding written and verbal communication skills with executive presence
  • Comfortable operating in elite circles and high-stakes environments
  • Proven expertise in managing complex schedules, global travel, and luxury logistics
  • Solution-oriented, calm under pressure, and always two steps ahead
  • Highly organized, proactive, and grounded in discretion
  • Collaborative, trustworthy, and adaptable across time zones and cultural norms
  • Unwavering dedication and positive, upbeat personality
