Jump Consulting is a pet business coaching company established in 2007. We help business owners grow their businesses through our marketing company, podcast, and Mastermind 

Job Summary

We are looking for a skilled and high-level virtual assistant to be the right hand to the CEO. Basic admin tasks, managing some contractors and organization is a big part of this job. Planning to start off with approximately 10 hours a week with a high probability to grow into more if the relationship allows. We value integrity, hard work, and do not like to micro manage. We care less about the method and more about the results and eliminating communication break downs or wasting time having to rework projects. Someone who can think ahead and ask all the questions they need to make their task output successful is paramount. We have SOPs, but things are always changing and updating them is fluid as tools and workflows are constantly improving with technology. 

Responsibilities and Duties

Client Onboarding and Interaction

  • Onboard new clients effectively, ensuring they are well-informed and comfortable with the services.
  • Interact with clients via email, addressing queries and providing exceptional customer service.

Podcast and KPI Management

  • Report on podcast listenership and other key performance indicators (KPIs), ensuring accurate and timely data analysis.
  • Upload podcasts to YouTube and other platforms, ensuring high-quality content presentation.
  • Create detailed podcast show notes and summaries from episodes.

Administrative and Calendar Management

  • Manage and maintain the executive’s calendar, scheduling meetings, and appointments efficiently.
  • Create reminders for community events and weekly preparation emails to keep the team informed and on track.

Content and Email Management

  • Use ConvertKit to manage email campaigns and write weekly emails leveraging artificial intelligence software.
  • Take notes during online speaking engagements and create actionable summaries.

Financial Tracking and Reporting

  • Ensure all clients have paid on a daily and weekly basis, maintaining up-to-date and accurate spreadsheets.
  • Keep track of financial transactions and provide regular reports.

Proactive Business Support

  • Stay aware of company activities and developments, providing proactive ideas to help move the business forward.
  • Think ahead to identify potential challenges and opportunities, ensuring the organization remains on track and ahead of the curve.

Quality Control and Autonomy

  • Deliver high-quality work on time without the need for constant supervision.
  • Follow instructions meticulously and ensure deliverables do not require multiple revisions.

Qualifications and Skills

Experience

  • 2+ years of experience in a high-level assistant role or similar position.

Technical Skills

  • Proficiency in Google Workspace, and project management tools like Asana or Trello, Slack, ConvertKit, Magai (or an AI tool).
  • Familiarity with content management systems and social media platforms.
  • Ability to leverage artificial intelligence software for content creation and task automation. 

Hard Skills

  • Excellent written and verbal communication skills.
  • Strong organizational and multitasking abilities.
  • Competence in data analysis and reporting.
  • Expertise in calendar management and email campaigns.
  • Financial acumen to track and report on client payments.

Soft Skills

  • Critical thinker with the ability to identify and solve problems proactively.
  • Forward-thinking and responsible, with the ability to work independently.
  • Detail-oriented and meticulous planner.
  • Strong interpersonal skills, capable of delivering exceptional customer service.
  • Ability to manage time effectively and deliver high-quality work in a timely manner.
  • Reliable, with a work focus on Monday, Tuesday, and Wednesday.

Compensation

  • $12 - $20 Hourly. We will not entertain packages. We pay per hour that needs to be tracked on a software that you have with reports sent. After a working relationship has been established, this could be renegotiated to packages. 
  • For all involved, this will start off as a 30 day trial and we will both re-evaluate the working relationship. We are looking for our next right hand. Someone who can grow with the company.
