Responsibilities: 
A non-exempt position responsible for performing a variety of duties within the New Patient Care Department, involved in both the clinical and administrative duties. Includes scheduling patients, managing multiple schedules, obtaining and entering new patient packets in the EMR.
Duties and Responsibilities may include, but are not limited to:

  • Outreach to patients to ensure timely return of New Patient Packets.
  • Use customer service principles and techniques to assist patients calmly and professionally.
  • Serve as a point of contact for patients with questions regarding their new patient packet.
  • Manage phone calls and incoming portal messages from the EMR.
  • Assist in scheduling and rescheduling patient appointments.
  • Update demographic intake in EMR as necessary.
  • Document patient encounters and phone calls in EMR.
  • Manage the Welcome Call scheduling templates including giving directions to schedulers in other care centers.
  • Obtain New patient packet and enter clinical information into the EMR
  • Remain in continuous daily contact and communication with the New Patient Care Manager regarding all new and ongoing issues.
  • Interact and collaborate with Care team leadership on patient requests and needs whether scheduling a new patient acute or rescheduling patients Welcome Call.
  • Help ensure Welcome Call Workflow is being followed across all care centers, update Program Manager of opportunities.
  • Assist in analysis and reporting of statistical data.
  • Assist in writing workflow.
  • Collaborate and train NPS on new patient welcome call scheduling workflows.
  • Other duties as assigned.
Education/Experience Requirements:
  • High school graduate or equivalent
  • Experience working within a healthcare setting preferred but not required.
  • CMA: Maintains current Medical Assistant certification/registration from an accredited institution.
  • Knowledge of clinic policies and procedures and overall understanding of medical office flow.
  • Proficient skills in computer programs.
  • Customer service skills.
  • Skillful in multitasking, prioritizing, and organizing.
  • Ability to communicate effectively and work with others.
  • Ability to communicate calmly and clearly with patients.
  • Ability to understand and interpret policies and regulations.
  • Ability to read and interpret medical charts.
  • Ability to examine documents for accuracy and completeness.
  • Operate standard office equipment including computers, fax machines, copiers, printers, telephones, calculators.
  • Knowledge of specific assisting tasks related to medical practice.
  • Knowledge of information that must be conveyed to patients and families.
  • Knowledge of medical terminology, anatomy, physiology, and pathophysiology.
  • Familiarity with health care systems, regulations, policies, and functions.
  • Knowledge of understanding documentation standards.


Salary is commensurate with experience.
