Job Description

A prestigious investment firm located in Midtown Manhattan, NY is seeking a highly experienced Executive Assistant to provide dedicated support to a Senior Leadership team . The ideal candidate will have at least 10 years of executive administrative experience within Private Equity, Venture Capital, Hedge Fund, or Mergers and Acquisitions environments.

This role requires a proactive, detail-oriented professional who thrives in a fast-paced environment and enjoys being part of a collaborative team. You will play an integral part in helping the executive manage their day-to-day operations and strategic priorities.

Key Responsibilities:

  • Complex Calendar Management: Coordinate and manage a demanding schedule, including high-volume meetings across multiple time zones with internal and external stakeholders.
  • Travel Coordination: Arrange complex domestic and international travel plans, including flights, accommodations, transportation, and comprehensive itineraries.
  • Expense Management: Prepare, track, and submit expense reports with a high degree of accuracy and timeliness.
  • Administrative Support: Assist with document preparation, meeting agendas, correspondence, and ad hoc projects.
  • Communication & Liaison: Act as the primary point of contact for the C-suite executive, ensuring smooth communication flow within the organization and with external partners.
  • Team Collaboration: Work closely with other executive assistants and team members to ensure cohesive support across the organization.

Qualifications:

  • 10+ years of executive administrative experience supporting C-suite or senior executives.
  • Industry experience in Private Equity, Venture Capital, Hedge Funds, or Mergers & Acquisitions is required .
  • Expertise in managing complex calendars and shifting priorities efficiently.
  • Proven experience coordinating global travel with meticulous attention to detail.
  • Strong proficiency in Microsoft Office Suite and expense management systems.
  • Exceptional organizational and problem-solving skills with the ability to anticipate needs.
  • Excellent communication and interpersonal abilities with a high level of discretion.
  • Ability to thrive in a fast-paced, team-oriented environment.

Work Schedule:

  • Onsite: Monday through Thursday
  • Remote: Work from home on Fridays.

Salary: $140,000 + bonus and benefits
