Frier Levitt, established in 2000, is a national boutique law firm focused exclusively on Healthcare and Life Sciences. The firm draws on its experience representing stakeholders across the entire healthcare spectrum. In the Life Sciences, Frier Levitt has represented pharmacies of all kinds and assisted with regulatory, transactional, and litigation matters. Position Summary Frier Levitt is seeking a Legal Assistant in the Healthcare Transactional/Regulatory Department at our Pine Brook, New Jersey office. This new position will involve phone coverage, faxing and scanning, calendar management, and organization of files, as well as various on‑demand office duties. Responsibilities Corporate transactional closing assistance (training provided) Contact potential new clients to collect information and schedule consultation calls Manage attorneys’ calendars, coordinate meetings and appointments, and schedule calls/meetings via Microsoft Teams Track attorney CLE credits, schedule CLE courses, and submit certificates of completion to the state(s); maintain records Organize files received from clients Scan, save, and upload documents to the firm’s document management system (NetDocs); use Centerbase for billing, new client contact information, and engagement letter monitoring Answer direct lines in a timely and polite manner Coordinate travel as necessary Communicate effectively and calmly with staff, attorneys, and clients Back up other legal assistants when necessary Requirements Coordinate work assignments, prepare legal correspondence and documents, and organize and maintain files and records Proficiency with Microsoft Office Suite, Adobe, and DocuSign products; experience with Centerbase is helpful Excellent communication, proofreading, and organization skills Ability to prioritize assignments and tasks Extremely organized with a high attention to detail Excellent verbal and written communication skills Prior experience as an executive assistant may be helpful Benefits Frier Levitt offers a competitive salary and a full range of benefits, including PTO with no waiting period, medical, dental, vision, 401(k) (upon eligibility), life insurance, and other voluntary benefits, as well as an on-site gym.
